Terms of Service

Last updated: 18 July 2026

1. Who we are

PharmHive ("PharmHive", "we", "us") provides pharmacy management software (point of sale, inventory, finance, and related tools) delivered as a web application and a desktop application (together, the "Service"). These terms are an agreement between PharmHive and the business that subscribes to the Service (the "Pharmacy", "you").

2. Accounts

Pharmacies are onboarded by us; there is no self-service registration. The account owner may invite staff (managers, cashiers, clerks) and controls their roles and permissions. You are responsible for the actions of every user you invite, for keeping login credentials confidential, and for removing staff who leave your business. Tell us promptly if you believe an account has been compromised.

3. Subscriptions and payment

The Service is sold as a subscription (see our Pricing page). Payment is currently collected manually - typically by Mobile Money, and plans are activated by us on confirmation of payment. Fees are stated in Ghana cedis unless agreed otherwise and do not include any applicable taxes.

If a subscription lapses, we do not immediately lock you out of day-to-day selling; however, continued non-payment may lead to features being restricted or the account being suspended after reasonable notice. Fees already paid are not refundable, except where the law requires otherwise.

4. Your data is yours

All business records you create in the Service (products, sales, customers, suppliers, financial entries) belong to your Pharmacy. You grant us the limited rights needed to host, process, back up, and display that data in order to run the Service. If you leave, we will provide a copy of your data in a common format on request made within 60 days of termination, after which we may delete it.

5. Offline use and synchronisation

The desktop application stores a copy of your data on your computer so the Service works without internet, and synchronises with the cloud when a connection returns. You are responsible for the physical security of devices running the desktop application. Where the same records are edited in two places while offline, the Service resolves conflicts using most-recent-change rules; occasional manual review may be needed.

6. Acceptable use

You agree not to:

  • use the Service for anything unlawful, including the sale of medicines you are not licensed to sell;
  • attempt to access another pharmacy's data or probe the security of the Service;
  • resell, sublicense, or copy the Service, or use it to build a competing product;
  • overload the Service with automated traffic.

7. Professional responsibility

PharmHive is business software. It does not provide medical or pharmaceutical advice, and it does not replace the professional judgment of a licensed pharmacist or your obligations under the laws and regulations that govern pharmacy practice in your country (including licensing, controlled-substance, and record-keeping requirements). You remain solely responsible for regulatory compliance.

8. Availability and support

We work to keep the Service available and your data safe, and the offline-first design means routine internet outages do not stop you selling. The Service is nevertheless provided "as is"; we do not promise it will be uninterrupted or error-free. Support is provided over WhatsApp during reasonable business hours; enterprise plans may include stronger commitments agreed in writing.

9. Liability

To the fullest extent permitted by law: we are not liable for indirect losses (lost profits, lost business, lost data caused by factors outside our control), and our total liability arising from the Service in any 12-month period is limited to the subscription fees you paid for that period. Nothing in these terms excludes liability that cannot lawfully be excluded.

10. Termination

You may stop using the Service at any time. We may suspend or terminate an account for non-payment, for material breach of these terms, or where required by law, with reasonable notice where practicable. Sections 4, 9, and 11 survive termination.

11. General

These terms are governed by the laws of the Republic of Ghana, and disputes are subject to the jurisdiction of the courts of Ghana. We may update these terms as the Service evolves; material changes will be announced in the application or by message to the account owner, and continued use after the effective date constitutes acceptance. If any provision is found unenforceable, the rest remain in effect.
